About the Role
The Student Conservation Association (SCA) is seeking a detail-oriented Agreements Administrator to support the accurate and timely processing of hundreds of public and private funding agreements annually. This role is crucial for ensuring the operational oversight and quality management of SCA’s agreements function, guaranteeing that complex agreements are processed accurately, consistently, and in compliance with organizational procedures and requirements. As a subject matter resource within the Agreements Team, you will be responsible for workflow coordination, quality assurance, process improvement, reporting, and training support. You will proactively identify operational issues, monitor agreement pipelines and compliance, and contribute to the implementation of standardized procedures and systems improvements. Working collaboratively with the Senior Manager, Agreements and cross-functional stakeholders, you will help ensure efficient agreements operations throughout the entire lifecycle.
Key Responsibilities
- Agreements Operations & Workflow Coordination:
- Coordinate and support the processing, drafting, execution, and modification of assigned public and private funding agreements.
- Monitor agreement workflows, drafting timelines, modification tracking, and operational deadlines.
- Collaborate with internal and external stakeholders to initiate, establish, and fulfill agreements and amendments.
- Manage and maintain modification lists for assigned government agencies.
- Assist with operational issue resolution and escalate concerns as needed.
- Quality Assurance & Compliance:
- Review and proof agreements, sub-agreements, funding documents, and templates for accuracy and consistency with governing agreement terms.
- Monitor adherence to agreements procedures, template standards, and compliance requirements.
- Maintain knowledge of federal agency requirements, funding regulations, and relevant submission processes.
- Communicate potential issues, delays, compliance concerns, or operational risks to relevant stakeholders.
- Systems, Reporting & Process Management:
- Create and maintain contract pipeline dashboards and reports.
- Manage, track, and report on the status of pending agreement drafting deadlines and workflow tracking tools.
- Monitor agreements status pipelines and support operational reporting needs.
- Identify process gaps, workflow inefficiencies, and operational trends impacting agreements management.
- Support the implementation of systems enhancements and workflow improvements.
- Cross-Departmental Coordination:
- Coordinate with Billing, Partnerships, Programs, and other departments regarding modifications, de-obligations, and agreement requirements.
- Facilitate communication and operational alignment across departments involved in agreements processing.
- Support the timely and accurate completion of funding applications and associated documentation.
Requirements
- Associate's degree preferred.
- At least 2 years of experience in a job-related field or similar experience preferred.
- Knowledge of contracts and/or the nonprofit environment is a plus, including experience with Grants Solutions.
- Excellent communication skills, with the ability to speak and write clearly and concisely.
- Strong organizational skills.
- Experience with relationship building and customer service.
- Ability to work independently and professionally under pressure.
- Ethical conduct and the ability to handle confidential information appropriately.
- Proven analytical and problem-solving abilities.
