Events Coordinator

BusPlanner is seeking a highly organized and communicative Events Coordinator to join our remote team. This is a permanent, fully remote position supporting our presence at conferences, trade shows, webinars, and user events across North America.

About the Role

As an Events Coordinator, you will be the operational backbone of our event calendar, working closely with the Events Team Lead. You will own event timelines, coordinate vendors and registrations, and assist with event promotion before, during, and after each event. This role is ideal for someone who thrives on managing multiple details and ensuring events run flawlessly.

This position is based in Pakistan but requires working Eastern Time (EST) business hours to align with our North American Events team. This means working evenings and overnight in Pakistan. No travel is required.

Key Responsibilities

  • Coordinate logistics for conferences, trade shows, VIP dinners, webinars, and user events, including venues, hotels, catering, travel, shipping, and on-site materials.
  • Manage event calendars and project timelines, creating run-of-show schedules, task lists, and deadlines, ensuring all workstreams stay on track.
  • Oversee attendee workflows, including invitations, registrations, RSVPs, and guest lists, maintaining accurate data.
  • Liaise with vendors, venues, and partners across different time zones, obtaining quotes, tracking deliverables, and confirming details.
  • Coordinate booth materials, signage, giveaways, and shipping to ensure readiness for events.
  • Support event marketing efforts by drafting and scheduling email invitations, assisting with registration and landing page creation, promoting on social media, and managing post-event follow-up.
  • Track event budgets, process invoices, and reconcile expenses.
  • Capture and report on event metrics such as attendance and leads, ensuring leads are properly entered into our CRM.
  • Provide responsive remote support before and during live events.

Requirements

  • 2+ years of experience in events coordination, marketing coordination, project coordination, or a similar role.
  • Exceptional organization and meticulous attention to detail, with a proven ability to manage multiple events and deadlines simultaneously.
  • Strong written and verbal English communication skills.
  • Proficiency in Microsoft Office Suite, particularly PowerPoint, Excel, and Word.
  • Familiarity with AI tools (e.g., Claude) and a proactive approach to using them for efficiency.
  • Ability to work Eastern Time (EST) business hours while based in Pakistan.
  • Experience supporting trade shows, conferences, or large-scale events is a plus.
  • Familiarity with CRM and marketing tools (e.g., Outreach, webinar platforms) is a plus.
