About the Role
This is a remote, full-time Executive Assistant position supporting the Co-CEOs of two growing behavioral health organizations. You will be at the center of executive operations, managing critical administrative functions and contributing to projects across finance, contracts, credentialing, and systems. This role offers a flexible schedule, Monday through Friday, with no two days being the same. The ideal candidate is a fast learner, brings structure to ambiguity, and takes ownership with minimal supervision.
Key Responsibilities
- Manage executive inboxes, flagging, actioning, and organizing communications to keep priorities moving.
- Handle financial administrative tasks, including invoice processing, accounts payable, credit card reconciliation, and expense categorization.
- Review, organize, and maintain contracts, agreements, and sensitive organizational documents.
- Support medical credentialing processes and documentation for both organizations.
- Assist with software setup, CRM integrations, and platform management, acting as a resource for system-related questions.
- Process daily fax and mail intake, ensuring timely routing.
- Build and maintain Excel trackers, reports, and operational spreadsheets.
- Contribute to special projects as organizational needs evolve.
- Support internal operations, including preparing agendas, taking meeting notes, managing correspondence, and facilitating cross-departmental coordination.
Requirements
- Minimum of 2 years of experience in a medical administrative, operations, or executive support role.
- Proficiency in navigating multiple software platforms and a demonstrated ability to learn new systems quickly. Prior CRM or EMR experience is a plus.
- Functional Excel skills, with a willingness to develop them further.
- Highly independent and self-directed, with the ability to manage competing priorities effectively.
- Organized, detail-oriented, and proactive, with a commitment to producing high-quality work.
