Moonshot is seeking a motivated Project Analyst to join our team and support the delivery of program initiatives in the United States. This role is crucial for coordinating project activities and ensuring the successful implementation of online violence prevention programs and research.
About the Role
This position is ideal for a highly organized and detail-oriented individual with a proactive approach and strong administrative capabilities. You will play a key role in supporting project coordination, financial monitoring, and business process improvement. Candidates must be based in Massachusetts, Colorado, New York, Virginia, Georgia, Pennsylvania, Maryland, Wisconsin, Tennessee, Oregon, New Jersey, or Washington D.C. Occasional travel may be required.
Key Responsibilities
- Provide comprehensive project coordination support for the US program portfolio.
- Assist in developing and maintaining project work plans and task tracking using Monday.com, including schedule management, milestone tracking, workload monitoring, and status reporting.
- Support budget development and project financial monitoring in collaboration with project managers and the finance team, which may include tracking expenditures, updating budgets, reviewing profit and loss statements, and processing supplier invoices.
- Prepare and distribute project documentation for both internal and external stakeholders, such as meeting minutes, reports, presentations, and briefing materials.
- Assist with the implementation and management of digital advertising campaigns across various online platforms (e.g., Google, YouTube, Rumble, TikTok, Quora, 4chan, Instagram, Facebook).
- Coordinate logistics for training programs and events, including scheduling, venue arrangements, attendance tracking, invoicing, and payment processing.
- Facilitate the drafting, review, and issuance of contracts for consultants, suppliers, and project partners.
- Analyze existing business processes and contribute to the design and implementation of improvements to enhance operational efficiency.
- Collaborate with the Senior Program Manager to ensure adherence to project contractual requirements and relevant legislation.
- Work closely with finance, operations, communications, design, and other administrative support teams.
- Undertake other related tasks as assigned by the Senior Program Manager.
Requirements
Essential:
- Demonstrable experience in project coordination or a similar administrative role.
- Strong organizational and planning skills, with the ability to manage multiple priorities and meet deadlines effectively.
- Solid numerical ability, including experience with budgets, spreadsheets, and data analysis.
- Familiarity with project management software and a willingness to learn new systems.
- Clear and confident communication skills, both written and verbal.
- A proactive problem-solver with a knack for identifying and implementing process improvements.
- Adaptable, calm under pressure, and flexible in approach to changing priorities.
- A genuine commitment to Moonshot's mission and values.
- Eligibility to work in the United States.
- Ability to pass any required security clearance procedures.
Desirable:
- Experience or a strong interest in online safety, intelligence, violent extremism, targeted violence, or violence prevention.
- Experience supporting the planning and logistics for training and events.
- Understanding of project management principles and methodologies.
- Experience or interest in contracting, compliance, or process improvement.
