We are seeking a highly organized and detail-oriented Data & Administrative Coordinator to join our dynamic team. This pivotal role is central to our organization, providing essential support to leadership and various departments to ensure information is accurate, well-organized, and flows efficiently throughout the company. Key Responsibilities
Executive & Administrative Support:
- Manage calendars for senior leadership.
- Assist with meeting preparation, reporting, and ad hoc executive requests.
- Provide general administrative support across the organization.
Data & Systems Management:
- Perform regular audits of company data, files, contacts, and expiration dates.
- Set calendar reminders for key deadlines and important milestones.
- Assist in annual audits of company data and systems.
File & Information Management:
- Organize and maintain Google Drive and internal file systems.
- Manage the filing of contracts and key company documents.
- Support the administration of internal systems and tools, including future implementations.
- Assist in training team members on file organization and best practices.
Cross-Functional Coordination:
- Coordinate information and documentation across teams.
- Support onboarding processes for external partners (vendors, customers, distributors).
- Assist with compliance-related documentation and reporting.
- Help ensure alignment and organization across projects and workflows.
Operations & Logistics Support:
- Maintain operational lists and internal data records.
- Support documentation related to logistics, production, and administrative workflows.
- Assist with forms, applications, and internal tracking tools.
Project & Task Management:
- Manage and track tasks using project management tools (e.g., Asana).
- Support research projects and special initiatives.
- Assist in building and maintaining organizational systems and processes.
