Executive Assistant to CEO

Company: Lambent Location: Palm Beach Gardens, Florida, United States Work Model: Onsite Contract: Permanent Salary: $90,000 - $120,000 per year

Lambent, a respected and growing hospitality company, is seeking a highly proactive and tech-savvy Executive Assistant to support the CEO. This is a hands-on, collaborative role for a dynamic executive who is dedicated to providing high-touch client service, including daily field visits. The ideal candidate will anticipate needs, balance competing priorities, and ensure seamless operations.

About the Role

This position requires an exceptionally organized, responsive, and resourceful individual. You will be responsible for staying ahead of the CEO's schedule, reminding them of commitments, and ensuring projects progress without constant oversight. A strong desire to build a long-term partnership is essential.

Key Responsibilities

  • Own and manage the CEO's calendar, prioritizing client visits, internal meetings, and travel.
  • Prepare daily and long-term agendas, reminders, meeting materials, and key priorities for the CEO.
  • Manage follow-ups from client visits, ensuring commitments are communicated, assigned, and completed.
  • Track sample requests from initiation through delivery, providing status updates.
  • Maintain visibility on all active projects, deadlines, and commitments.
  • Proactively surface issues, delays, or potential conflicts.
  • Act as a central communication point between the CEO and internal teams.
  • Prioritize incoming requests to ensure the CEO remains focused on high-value activities.
  • Manage travel arrangements and logistics.
  • Draft correspondence, coordinate meetings, and support daily executive operations.
  • Develop and implement systems and processes to improve efficiency, communication, and accountability.
  • Maintain professionalism in client interactions and support key relationship management efforts.

Requirements

  • A minimum of 4 years of experience supporting a founder, CEO, or senior executive in a fast-paced environment.
  • Exceptional organizational and project management skills.
  • Advanced proficiency with Microsoft Outlook, including calendar management, email management, and productivity tools.
  • Strong technology skills with the ability to quickly learn new platforms and systems.
  • Excellent written and verbal communication skills.
  • High responsiveness during working hours.
  • Proven ability to manage multiple priorities simultaneously without missing details.
  • Strong follow-up skills and a commitment to resolving outstanding items.
  • Professional, confident demeanor, comfortable with direct communication.
  • Demonstrated longevity and stability in previous positions.
