IT Procurement Specialist (Technology)

About the Role

We are seeking an IT Procurement Specialist with 2-5 years of experience in procurement, sourcing, or vendor management, ideally within technology categories such as SaaS, software licensing, or IT services. This is an individual contributor role reporting to the Procurement Lead. The position focuses on implementing procurement plans, managing supplier engagements, and ensuring cost-effective and compliant purchasing processes.

Key Responsibilities

  • Procurement Lifecycle Execution:
    • Execute the end-to-end procurement cycle for software, SaaS, and technology services.
    • Manage Request for Proposal (RFP), Request for Information (RFI), and Request for Quotation (RFQ) processes.
    • Coordinate vendor evaluations and support supplier selection.
    • Ensure compliance with internal procurement policies and governance standards.
  • Commercial & Contract Management:
    • Conduct negotiations within defined approval frameworks.
    • Support contract drafting, renewals, and amendments with Legal and Finance.
    • Maintain the contract repository, renewal trackers, and supplier documentation.
    • Monitor license consumption and subscription usage.
    • Perform spend analysis and Total Cost of Ownership (TCO) assessments.
  • Cross-Functional Coordination:
    • Partner with Engineering, Legal, Finance, Security, and Operations teams.
    • Align stakeholders throughout sourcing and contracting processes.
    • Coordinate timelines and flag risks or delays.
    • Ensure procurement activities meet budget and compliance requirements.
  • Supplier & Process Improvement:
    • Support supplier performance follow-ups.
    • Consolidate expenditure data across departments.
    • Identify cost optimization opportunities.
    • Contribute to procurement process improvements.
    • Prepare dashboards, reports, and business case inputs.
    • Leverage digital procurement systems and AI tools to improve efficiency.

Requirements

  • 2-5 years of experience in procurement, sourcing, or vendor management, preferably in technology-related categories.
  • Hands-on experience running competitive sourcing processes and negotiating commercial terms.
  • Comfort working with contract structures, subscription-based models, and cost analysis frameworks.
  • Strong negotiation, analytical, and problem-solving skills.
  • Clear communication skills with both technical and business stakeholders.
  • Strong commercial mindset, decisiveness, and a solution-oriented approach.
  • Approachable and collaborative working style.
  • Ability to operate in a dynamic environment and adapt to evolving priorities.
  • Experience with digital procurement systems.
  • Openness to leveraging AI tools for productivity and analysis.
